Commercial Coordinator

Description

The Commercial Coordinator is the operational backbone of the commercial team and the primary liaison between the sales function and internal support areas of the organisation. This role combines commercial data management, operational support to the team, internal process coordination and liaison with Legal, Finance and Collections.

The Commercial Coordinator ensures that information flows correctly, processes are consistent and the commercial team can operate with efficiency and full visibility.

Operational Support to the Commercial Team

Provide day-to-day operational support to the KAM team and Commercial Team Manager, enabling efficient commercial execution. Prepare materials, reports and presentations for operator meetings and leadership reviews. Coordinate team schedules and action follow-ups, ensuring commitments are met on time. Manage internal team communications and act as the operational point of contact for queries.

Database Management & Reporting

Maintain and update the commercial database for the territory, ensuring data quality, accuracy and consistency. Generate performance reports by account, product and KAM, and distribute them to the team on agreed timelines. Identify information gaps and flag them to the team for correction or completion. Support the team in the use of commercial tools, ensuring information is always up to date.

Process & Internal Information Alignment

Ensure that internal commercial team processes are consistent, documented and followed. Coordinate with central support areas (BI, Integrations, Product, Marketing) to ensure information flows correctly to and from the commercial team. Identify inefficiencies in current processes and propose improvements that increase team productivity. Manage the operational onboarding of new team members, ensuring they have access to the right tools and processes from day one.

Liaison with Legal, Finance & Collections

Act as the point of contact between the commercial team and Legal, Finance and Collections. Coordinate contract tracking, agreements and commercial documentation with the legal team. Ensure that commercial conditions agreed with operators are correctly reflected in internal systems and records. Track outstanding collections, alerting the commercial team to upcoming deadlines and coordinating with Finance on issue resolution. Manage requests for pricing approvals, discounts or special commercial conditions, coordinating with the relevant areas.

Requirements
  • Experience in commercial, administrative or support roles (required)
  • English language proficiency (required)
  • Advanced level of Microsoft Excel (required)
  • Power BI preferred (preferred)
  • JIRA (required)
  • CRM (required)
  • Database management, reporting and presentation skills (required)
  • Dynamic and organised, fast learner, proactive in process administration and supervision within an organization, with strong oral and written communication skills (required)
