Commercial Coordinator

Description

The Office Manager plays a vital role in overseeing and managing day-to-day operations within the office, organizing events, handling budgets and vendors, coordinating travel and accommodations, and supporting the commercial team. This role involves a combination of event management, office administration, and budget oversight, ensuring that operations run smoothly, and the company’s goals are met effectively. The position also includes managing the development of the local office to ensure a productive and efficient environment.

Oversee the smooth operation of the local office, including office supplies, equipment, maintenance, and ensuring a comfortable and efficient work environment for all staff members. Identify opportunities for improving office infrastructure and processes. Develop strategies to enhance office functionality, employee productivity, and company culture.

Responsibilities
  • Manage the office budget, ensuring efficient use of resources for daily office operations.
  • Monitor and control costs related to office supplies, utilities, and equipment maintenance.
  • Lead the planning and execution of internal and external events, such as trade fairs, conferences, product presentations, and promotional events.
  • Ensure these events align with company goals and objectives within the online casino industry.
  • Oversee all logistical aspects of events, including venue selection, event setup, catering, and any other event-related requirements.
  • Coordinate with relevant teams to ensure smooth operations.
  • Manage relationships with suppliers and vendors for event-related services (e.g., event venue providers, catering, audiovisual equipment, etc.).
  • Negotiate contracts and ensure cost-effective service delivery.
  • Collaborate with marketing and commercial teams to ensure effective promotion of events and maximize attendee engagement.
  • Develop and manage event budgets, ensuring that all costs stay within financial targets.
  • Monitor expenses throughout the event planning and execution phases.
  • Provide regular reports to the Head of Region on budget allocation, expenditures, and ROI for events.
  • Offer suggestions for cost optimization while maintaining event quality.
  • Coordinate with the sales, promotions and commercial teams to ensure alignment between event goals, promotional activities, and commercial objectives.
  • Ensure seamless communication and coordination between different departments (HR, Finance, Operations) involved in event execution and office management.
  • Manage the calendar for the commercial team, ensuring all events, business trips, and commercial activities are properly scheduled, avoiding conflicts.
  • Oversee the development and execution of the company’s branding and presence at trade shows, conferences, and other promotional events, ensuring consistency with the company’s identity and objectives.
  • Manage the creation and distribution of corporate gifts and merchandise (e.g., branded items, giveaways) to clients, partners, and event attendees, ensuring that promotional materials are aligned with the company’s brand.
  • Report regularly on event budgets, office expenditures, and cost-saving opportunities.
  • Provide suggestions for future budget planning based on previous experiences.
  • Track the effectiveness of office initiatives, event outcomes, and promotional activities, offering data-driven recommendations for improvements.
Requirements
  • Strong experience organizing and managing corporate events, trade fairs, and conferences within the online gaming or tech industries. (required)
  • Ability to oversee day-to-day office operations and contribute to the development of a functional and positive office environment. (required)
  • Proficient in managing budgets, controlling costs, and providing financial reports, with a focus on cost optimization. (required)
  • Experience negotiating contracts and managing vendor relationships for event services and office supplies. (required)
  • Expertise in managing corporate travel and accommodations for team members. (required)
  • Strong Communication and Coordination Skills: Ability to work with multiple teams and stakeholders, both internally and externally, to ensure successful event execution and smooth office operations. (required)
  • English proficiency required. (required)
  • Poruguese is a valued skill. (preferred)
  • Proficient in Office Tools: Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and event management software. (required)
  • English Level B2+ (required)
