Office Coordinator (Malta)
As an Office Coordinator at Novibet, you will ensure the efficient running of the office and provide vital administrative support to the team.
- Take ownership of daily office operations, ensuring a clean, well-organised, and welcoming work environment.
- Manage relationships with office suppliers; handle invoices and payments.
- Take ownership of cleaning standards and liaise with the cleaning company to address any issues.
- Manage general office upkeep, including coordinating maintenance, repairs, and facility improvements.
- Order office supplies, monitor stock levels, and maintain an up-to-date inventory of IT equipment.
- Process incoming and outgoing mail and courier services in line with company procedures.
- Ensure compliance with office health and safety regulations and act as a point of contact for related emergencies.
- Carry out basic bookkeeping for office-related expenses.
- Coordinate office projects and administrative tasks.
- Provide general administrative support to the Malta team (e.g., queries regarding health insurance or similar matters).
- Organise and coordinate company events, team gatherings, and internal meetings.
- Act as the primary liaison with HQ for operational tasks and reporting.
- Assist with equipment setup for new joiners and ensure a smooth onboarding experience.
- Collect and submit on-call hours each month.
- Support HR queries, such as sick leave and vacation leave requests.
- BSc in Business Administration or a related field (required)
- 2+ years of experience in office management, administration, or a similar role (required)
- Fluency in English (required)
- Demonstrated ability to work independently with minimal supervision (required)
- Track record of taking ownership, showing initiative, and proactively solving problems (required)
- Excellent knowledge of MS Office (required)
- Strong organisational and multitasking skills (required)
