Office Manager
Traffic Label is seeking an organised, proactive, and personable Office Manager to support the day-to-day operations of its Malta office on a part-time basis of 20 hours per week. This role encompasses a variety of responsibilities, including office management, executive support, and workplace coordination.
The successful candidate will ensure the office runs efficiently, provide administrative assistance to senior leadership, and maintain strong relationships with various suppliers and service providers. Traffic Label is looking for an individual who is naturally organised, capable of working independently, and enjoys taking the initiative to keep the workplace running smoothly.
- Manage the day-to-day running of the Malta office, ensuring it remains organised, efficient and welcoming.
- Coordinate onboarding arrangements for new employees, ensuring workstations, equipment and office access are prepared.
- Manage office supplies, equipment and general workplace requirements.
- Build and maintain relationships with suppliers, contractors and external service providers.
- Coordinate office deliveries, maintenance and other operational requirements.
- Act as a central point of contact between senior leadership, employees and external stakeholders.
- Screen incoming correspondence and handle confidential information with discretion.
- Support the planning and coordination of internal meetings, company events and team activities.
- Provide administrative support including diary management, scheduling meetings and coordinating appointments.
- Assist with operational projects and administrative tasks as required.
- Oversee administrative support where appropriate and ensure tasks are completed to a high standard.
- Previous experience in Office Management or a similar administrative role (required)
- Excellent organisational skills with the ability to manage competing priorities (required)
- Strong written and verbal communication skills (required)
- Confident working independently with minimal supervision (required)
- A proactive approach, with the ability to identify what needs attention and take appropriate action (required)
- Friendly, approachable and easy-going, with excellent interpersonal skills (required)
- Strong attention to detail and effective problem-solving skills (required)
- Able to handle confidential information with professionalism and discretion (required)
- Good working knowledge of Microsoft Office, Google Workspace and calendar management tools (required)
- Flexible in working hours where business requirements occasionally require it (required)
- Experience organising company events, team activities or internal workplace initiatives (required)
- Experience managing relationships with suppliers, contractors and external service providers (required)
- Fluency in Maltese is desirable, although not essential (nice-to-have)
- Part-time position, 20 hours per week, Monday to Friday.

- Salary of €10,000–€15,000 per annum, depending on experience.
