HR Operations Specialist

Description

We are currently looking for an HR Operations Specialist to join our team in Poland. This is a fully on-site position from Warsaw office!

Responsibilities
  • Request and collect necessary personal documents and data from new hires.
  • Verify completeness and compliance of documentation with internal and legal standards.
  • Update and maintain employee records in the HR tool - HiBob.
  • Prepare employment contracts and annexes in line with organisational and legal requirements.
  • Ensure all onboarding documentation is completed and filed appropriately.
  • Handle administrative aspects of contract changes (e.g., promotions, salary adjustments).
  • Manage termination processes, including documentation and offboarding steps.
  • Serve as a point of contact for new hires regarding administrative and HR matters.
  • Prepare regular and ad-hoc HR reports (e.g., headcount, attrition, absences, contract status)
Requirements
  • Excellent command of English and Polish minimum level B2
  • Proven experience in HR administration or operations for the Polish market, preferably in an international environment.
  • Experience with HRIS systems, HiBob will be a plus.
  • High attention to detail and strong organisational skills.
  • Ability to manage sensitive and confidential information with integrity.
  • Proficient in Google suite, Slack.
  • Strong communication skills and a service-oriented attitude.
