HR Administrative Specialist

Description

Evolution is seeking an HR Administrative Specialist to manage employee personnel files and ensure their validity throughout the employment lifecycle. This role involves handling all administrative tasks related to hiring, employment continuity, and terminations.

The specialist will be responsible for maintaining accurate employee data in internal systems and ensuring that all documentation is prepared and archived efficiently. The role also requires collaboration with the HR Manager and the Legal department to update job descriptions and internal procedures.

Additionally, the position involves managing documentation for various employee life cycle events and resolving incoming cases through a ticketing system. The specialist will also support payroll processing by preparing attendance records and collecting medical leave certificates.

Responsibilities
  • Managing employee personnel files and ensuring their validity.
  • Handling administration for the whole employment period including hiring, employment continuity, and terminations.
  • Ensuring all hiring documents are prepared, signed accurately, and archived efficiently.
  • Maintaining employee data in internal HR systems.
  • Reviewing and updating job descriptions and internal HR procedures in collaboration with the HR Manager and Legal department.
  • Preparing and managing documentation for various employee requests and life cycle events, including maternity and paternity leave.
  • Using the ticketing system to monitor and resolve incoming cases.
  • Preparing attendance records for payroll processing.
  • Collecting medical leave certificates for payroll processing and reimbursement.
  • Providing internal and external audit support.
  • Administering the database for medical providers and meal voucher providers while maintaining contact with them.
  • Supporting the Health and Safety provider with the preparation of necessary documentation.
  • Supporting disciplinary investigations, labour inspections, and employee integration.
Requirements
  • Proven experience as an HR Generalist or in a similar HR role for 1 to 3 years (required).
  • Strong knowledge of HR functions, policies, and best practices (required).
  • Excellent communication and interpersonal skills (required).
  • Ability to handle confidential information with integrity and professionalism (required).
  • Detail-oriented with strong organisational and time management skills (required).
  • Good knowledge of English and Microsoft Office, specifically Word and Excel (required).
  • Ability to meet deadlines (required).
  • Good analytical skills (required).
  • Positive attitude and solution-oriented thinking (required).
  • Proactive, flexible, and adaptable (required).
  • Team-oriented (required).
  • Experience with Jira and Charisma (nice-to-have).
