Workspace Assistant
The Reception / Workspace Assistant role is at the forefront of delivering a positive office experience as a cultural ambassador, community advocate, and service leader. The FanDuel Workspace team strives to deliver a world-class workplace experience through high-touch services and world-class customer support.
In this role, the individual provides experience services and reception support to increase individual well-being, personal productivity, and organisational effectiveness. As part of a front-of-house team, the Workspace Assistant is responsible for creating a supportive and comfortable atmosphere by welcoming visitors and supporting all employee-facing services.
- Provides coordination and support for delivery of Workspace Services.
- Supports on-site events, including sourcing venues, vendors, caterers, and event support services.
- Participates in local event committees to contribute ideas and support global event coordination.
- Assists with meeting set up, furniture reset, and delivering temporary equipment and supplies.
- Maintains and communicates the local events calendar.
- Greets employees and coordinates visitor experience.
- Maintains awareness, upkeep, and operation of the workspace via daily or semi-hourly walkthroughs.
- Executes office policies and procedures and ensures they are being followed.
- Submits janitorial and maintenance work orders and communicates with appropriate partners to address issues.
- Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Responds to customers on behalf of other team members such as Facilities or the Janitorial Team.
- Utilises and maintains the integrity of databases and supports data entry for required reports and digital tools.
- Updates calendars, schedules meetings, and books conference rooms.
- Receives, sorts, and distributes daily mail and deliveries.
- Orders front office supplies and maintains inventory stock.
- Performs clerical front-of-house duties such as filing and photocopying.
- Manages pantry inventory and resupply, attends to light pantry equipment maintenance, and keeps the reception and kitchen areas safe and clean.
- A minimum of 1 year of front desk, concierge, customer service, or other hospitality experience (preferred).
- Positive and upbeat attitude with a problem-solving approach to work (required).
- Stellar time-management skills with the ability to prioritise tasks in a changing environment (required).
- Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions (required).
- Good written and verbal communication skills (required).
- High level of attention to detail and strong organisational skills (required).
- Proficient in Microsoft Office, including Excel, Outlook, and PowerPoint (required).
- Ability to be resourceful and proactive when issues arise (required).
- Ability to work flexible work schedules based on office needs (required).
- Ability to work requiring significant walking or other means of mobility (required).
- Ability to work in a standing position for long periods of time (required).
- Ability to reach, bend, stoop, push, pull, and frequently lift up to 20 lbs and occasionally lift or move up to 30 lbs (required).
