People & Recruitment Administrator

Description

Games Global is looking for a People & Recruitment Administrator to join the team on a 3-month fixed-term contract. This role plays a key part in supporting the implementation of a new recruitment Applicant Tracking System (ATS) within the HR Information System (HRIS), helping to ensure a smooth and successful transition from the current system.

The successful candidate is responsible for supporting the cleansing, migration, validation, and testing of recruitment data, while assisting the People team and hiring managers throughout the change process. In addition, the role provides recruitment coordination and administrative support to the Talent Acquisition Partner and the Rest of the World People team, helping to maintain day-to-day operations during the system implementation project.

Responsibilities
  • Gather and audit existing ATS data, identifying what needs to be migrated, archived or deleted.
  • Cleanse data ahead of migration, including removing duplicates, correcting errors and standardising formats.
  • Support field mapping between the previous ATS and the new ATS, ensuring data follows agreed retention periods and data protection requirements.
  • Validate migrated data through spot checks and reconciliations, logging and following up on any discrepancies.
  • Track live vacancies and candidates through the cutover to ensure no applicant is lost or left without communication.
  • Support the decommissioning of the previous ATS, including confirming that final data exports and archives are complete.
  • Gather requirements and information on current processes from the Talent Acquisition Partner, hiring managers and the wider People team.
  • Prepare configuration content such as job templates, hiring stages, email and offer templates, and approval workflows.
  • Support user acceptance testing (UAT) by running test scenarios, recording results and logging issues for resolution.
  • Collaborate with project stakeholders to support successful delivery.
  • Assist the Talent Acquisition Partner with preparing training materials, user guides and process documents, and delivering training to managers.
  • Provide first-line support to users in the weeks following go-live.
  • Support recruitment activity, including conducting interviews and loading offers for approval.
  • Support the RoW People Admin team with day-to-day operational activities, including ad hoc reports, invoice processing and HRIS data updates.
  • Complete a structured handover before the end of the contract.
Requirements
  • HR-related degree or diploma (nice-to-have)
  • At least 1 year of experience in an HR, recruitment, or administrative role (required)
  • Proven ability to work with large volumes of data while maintaining a high level of accuracy and attention to detail (required)
  • Experience supporting a system implementation, data migration, or testing project (preferred)
  • Experience providing recruitment administration support, including conducting candidate screening calls and coordinating interviews (preferred)
  • Proficient in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint (required)
  • Strong verbal and written communication skills, with the ability to support reporting, training, and collaboration across teams (required)
  • Understanding of data protection and privacy principles when handling personal information, such as POPIA and GDPR (preferred)
  • Working knowledge of an Applicant Tracking System (ATS) or Human Resources Information System (HRIS), such as iCIMS, HiBob, or Workday (preferred)
  • Previous experience working in a fast-paced technology or iGaming environment (preferred)
  • Meticulous attention to detail, with a methodical and systematic approach to data and process (required)
  • Able to get up to speed quickly and deliver to deadlines within a fixed timeframe (required)
  • Comfortable with changing priorities and balancing project work alongside day-to-day tasks (required)
  • Proactive problem-solver who spots issues early and raises them with the right people (required)
  • Builds trust quickly with stakeholders, and works well both independently and as part of a global team (required)
  • Handles confidential candidate and employee data with discretion and integrity (required)
