Purchasing Officer
The Purchasing Officer supports the day-to-day delivery of procurement across software subscriptions, licences, IT-related products and services, professional services, office requirements, and other general purchasing categories.
The role manages assigned purchases from request through order and completion, maintains accurate supplier and contract records, supports renewals and sourcing, and contributes to savings, reporting, and continuous improvement.
The role works closely with suppliers and internal stakeholders and operates independently within agreed procurement processes, escalating material commercial, contractual, or operational matters to the Purchasing Manager.
- Review purchase requisitions for completeness and obtain any required quotations or supporting information.
- Prepare and process purchase orders and service orders accurately and in line with approved requests and procedures.
- Track orders, deliveries, service activation and outstanding actions through to completion.
- Source suitable suppliers for assigned purchases and compare pricing, scope, service levels and commercial terms.
- Support routine negotiations and identify straightforward savings, cost-avoidance, demand-reduction or termination opportunities.
- Maintain accurate supplier, contract and renewal records, including service periods, notice dates, owners and status.
- Obtain renewal quotations, confirm ongoing business need and escalate price increases or material changes before commitment.
- Coordinate supplier onboarding and required documentation with Treasury, Finance, Legal, IT/Security and other reviewers where needed.
- Maintain complete and audit-ready purchasing records, including quotations, approvals and executed documents.
- Prepare periodic reports and maintain trackers covering renewals, order status, savings, supplier information and outstanding actions.
- Work effectively with internal stakeholders and suppliers, follow up proactively and escalate blockers in good time.
- Support the Purchasing Manager on larger sourcing exercises, negotiations and procurement projects.
- Around 1-3 years of relevant experience in purchasing, procurement, sourcing, commercial administration or a related role (required)
- Strong organisation, attention to detail and ability to manage multiple priorities and deadlines (required)
- Reliable and proactive, with the ability to work independently and see actions through to completion (required)
- Commercial awareness and confidence comparing proposals, pricing, scope and terms (required)
- Good numerical and analytical ability, including strong working knowledge of Microsoft Excel (required)
- Clear written and verbal English communication and the ability to build constructive supplier and stakeholder relationships (required)
- Sound judgement and willingness to escalate material changes, risks or unclear situations before commitment (required)
- Confidence learning and using procurement, ERP or purchase-to-pay systems (required)
- Comfort working with software subscriptions, licences and technology-related purchases without needing to be a technical (required)
- A diploma or degree in procurement, supply chain, business administration, finance, logistics or a related area (preferred)
- A procurement qualification or progress toward one, such as CIPS (nice-to-have)
- Experience with software licences, subscriptions, renewals, IT-related products or other indirect procurement (nice-to-have)
- Experience using a procurement, ERP or purchase-to-pay system (nice-to-have)
