Office Administrator
As Specialist Office Administration Support in Munich, the role is responsible for overseeing all aspects of Office administration, including local admin tasks, facilities management, and Health and Safety initiatives. The role works closely with the Local People Advisor and Office Lead to ensure the efficient and effective delivery of services and programmes to support the organisation's goals and objectives.
The role involves general, administrative organisational and secretarial tasks, including some reception activity. It is responsible for local attendance management in Timesystem, sick leave reporting and any other absence requests where the local PA is the escalation point. The role also manages post and parcels, travel expense reports and acts as payroll support where needed.
Responsibilities include participation in the planning and execution of various employee events, and preparation and support of internal/external meetings in the office. It is responsible for all vendors locally in Munich, including SLAs, scope and daily or weekly communication, and storage management with control on inventory at any given time. Ergonomic initiatives and desks/chairs are also part of the role, as is physical security, meaning local ownership of the access control policy and data.
The role requires staying up to date on country, state, and local employment laws and regulations, partnering with Compliance and Risk to ensure employee data integrity and that relevant trainings are implemented. The role is responsible for Health and Safety compliance requirements.

- Minimum of 3 years’ experience from facilities or office management (required).
- Customer centricity, high-level communication, interpersonal, and problem-solving skills (required).
- Demonstrated ability to manage multiple priorities and deliver results in a fast-paced environment (required).
- Proficiency in HRIS systems, Microsoft Office Suite, and other relevant applications used in HR and Finance (required).
- German and English fluent (required).
