Office Administrator
As Specialist Office Administration Support in Munich, the role is responsible for overseeing all aspects of Office administration, including local admin tasks, facilities management, and Health and Safety initiatives. The role works closely with the Local People Advisor and Office Lead to ensure the efficient and effective delivery of services and programmes to support the organisation's goals and objectives.
- Perform general, administrative organisational and secretarial tasks, including reception activity.
- Be responsible for local attendance management in Timesystem, sick leave reporting and any other absence requests where local PA is escalation point.
- Handle post and parcels.
- Manage travel expense reports and act as payroll support where needed.
- Participate in the planning and execution of various employee events.
- Prepare and support internal/external meetings in the office.
- Be responsible for all vendors locally in Munich, including SLAs, scope and daily/weekly communication.
- Manage storage where there is control on inventory at any given time.
- Coordinate ergonomic initiatives and desks/chairs.
- Act as the local owner of physical security, access control policy and data.
- Stay up to date on country, state, and local employment laws and regulations.
- Partner with Compliance and Risk to ensure employee data integrity as well as relevant trainings are implemented.
- Stay responsible for Health and Safety compliance requirements.
- Previous experience from facilities or office management (required).
- Customer centricity, high-level communication, interpersonal, and problem-solving skills (required).
- Demonstrated ability to manage multiple priorities and deliver results in a fast-paced environment (required).
- Proficiency in Microsoft Office Suite, and other relevant applications used in HR and Finance (required).
- Fluent in German and English (required).
