Head of Business Tools
The company is looking for a Head of Business Tools to lead a service team responsible for the internal business systems and IT tools that the company runs on. This role focuses on internal infrastructure, not products for clients, and covers systems such as Jira, Confluence, Slack, and Google Workspace, along with their integrations and automations. The position involves architectural oversight of how these systems interface with the company's ERP and each other.
This is a hands-on technical leadership role where the successful candidate will own the architecture of the internal IT landscape, eliminate functional duplication and tool sprawl, and manage vendor relationships. The role requires someone who can step into complex technical problems, control budgets, and directly shape the efficiency of internal processes by leading a team of developers and integration engineers.
- Own the overall landscape of internal business tools (Jira, Confluence, Slack, Google Workspace, etc.), eliminate operational silos and functional duplication, and define the long-term automation roadmap.
- Understand the architecture of the ERP integration (built and maintained by a dedicated engineer) and ensure it stays aligned with the overall IT landscape.
- Design and oversee the construction of data pipelines and API integrations between internal systems.
- Turn manual operational processes (onboarding/offboarding, approvals, ticketing) into automated workflows.
- Manage relationships with SaaS vendors and integrators, audit software usage, optimise total cost of ownership (TCO), and oversee centralised licensing and procurement.
- Work with department heads (COO, CCO, HR, CPO) to identify process bottlenecks and roll out automated solutions that speed up internal operations.
- Build and run support processes for business applications, ensuring high availability (SLA/uptime) of critical internal systems.
- Manage L1-L3 support for business applications and employee equipment.
- Enforce RBAC, SSO, and 2FA across all business tools; oversee data governance, secure offboarding, and compliance with data security standards, in partnership with the security department.
- Administer accounts, groups, and service accounts, and control access at the business-application level.
- Own the company's AI tooling landscape (corporate assistants, developer tools): manage access and licensing, evaluate and roll out new tools, consolidate overlapping solutions, and ensure security and data governance around their use (preventing sensitive data leakage through AI tools).
- Hire, develop, and lead developers, integration engineers, and system administrators.
- 5+ years of experience in Enterprise IT, Business Systems, or BizTech, including 2+ years in a Team Lead or Head capacity (required)
- Proven track record designing and maintaining SaaS/on-premise enterprise environments (CRM, HRM, Service Desk) (required)
- Hands-on experience with API integrations (RESTful, webhooks) and data synchronization across disparate business systems (required)
- Hands-on experience with modern IPAAS/automation platforms (Jira Automation, n8n) and low-code/no-code ecosystems (required)
- Deep knowledge of identity and access management: SSO/SAML/OAuth 2.0, directory services (Okta, Google Workspace) (required)
- Understanding of ERP integration architecture patterns - sufficient to meaningfully evaluate and guide the engineer responsible for that integration (required)
- Experience managing IT vendors, negotiating contracts, and optimizing license costs (required)
- Business analysis skills: ability to translate stakeholder requirements into technical specifications and architectural decisions (required)
- Understanding of ITIL/ITSM practices, incident management, and SLAs (nice-to-have)
- Experience with specific ERP (SAP, Odoo, NetSuite) or CRM (HubSpot, Salesforce, Zoho) platforms (nice-to-have)
- Hands-on experience integrating AI/LLM tools (internal assistants, document-processing automation) into corporate workflows (nice-to-have)
- Certifications (ITIL, TOGAF, platform-specific certifications) (nice-to-have)
