SkillOnNet is seeking a highly organised and proactive Corporate Administration & Legal Operations Specialist to support the day-to-day corporate administration of its international group entities and the efficient functioning of its Legal Department.

This hybrid role combines corporate governance, company secretarial, and legal operations expertise, ensuring the effective management of corporate records, statutory compliance, entity administration, and legal processes across multiple jurisdictions.

The successful candidate will work closely with the in-house legal team, external legal counsel, corporate service providers, registered agents, and cross-functional departments to support corporate governance, entity management, legal operations, and compliance initiatives.

Responsibilities
  • Manage the day-to-day corporate administration of the Group's entities, with particular responsibility for Cyprus companies and coordination of international subsidiaries.
  • Liaise with the Cyprus Registrar of Companies, government authorities, auditors, tax advisors, banks, corporate service providers, and registered agents regarding statutory filings, corporate changes, annual returns, and ongoing compliance requirements.
  • Coordinate incorporations, dissolutions, corporate restructurings, changes of directors, shareholders, registered offices, authorised signatories, and other corporate actions across multiple jurisdictions.
  • Maintain statutory registers, corporate records, constitutional documents, powers of attorney, beneficial ownership records, and corporate minute books.
  • Coordinate board and shareholder meetings, prepare agendas and board packs, draft resolutions and minutes, and oversee the execution and retention of corporate approvals.
  • Coordinate the execution, certification, notarisation, apostille/legalisation, and filing of corporate documentation for cross-border transactions and regulatory requirements.
  • Monitor statutory deadlines, annual filings, licence renewals, beneficial ownership filings, and other corporate compliance obligations, ensuring timely completion across all jurisdictions.
  • Act as the primary point of contact for external corporate service providers, registered agents, and company secretaries to ensure the accurate maintenance of the Group's corporate structure and records.
  • Support corporate governance initiatives by maintaining governance calendars, delegated authorities, and corporate policies.
  • Support the implementation, optimisation, and continuous improvement of legal processes, workflows, and technology solutions (e.g. contract lifecycle management (CLM), entity management platforms, e-signature tools, legal ticketing systems, and document management systems).
  • Maintain legal databases, document repositories, and entity management systems, ensuring accuracy, accessibility, version control, and data integrity.
  • Support legal operations by coordinating projects, monitoring legal requests, tracking deliverables, and driving process improvements to enhance efficiency.
  • Assist with legal budgeting, invoice processing, engagement letters, and the onboarding and management of external legal providers.
  • Assist with the administration and execution of legal documentation, including document signing processes, record keeping, and document retention in accordance with internal policies.
Requirements
  • Bachelor’s degree in Law or related field (required)
  • Paralegal certification (preferred)
  • 3+ years’ experience in a legal, corporate, or legal operations environment (required)
  • Familiarity with contract review and corporate governance practices (required)
  • Experience with legal technology platforms (e.g. CLM, e-signature tools, entity management software, task management tools) (required)
  • Excellent organisational and project management skills (required)
  • Excellent written and verbal communication in English (required)
  • High level of discretion and professionalism in handling sensitive and confidential information (required)
  • Experience in a fast-paced, international environment (e.g. tech, SaaS, regulated industries) (required)
  • Proactive mindset with a focus on process improvement and efficiency (required)
  • Ability to manage multiple priorities and work independently with minimal supervision (required)
