Office Coordinator
The Office Coordinator is responsible for coordinating front of house operations by managing reception services, visitor access, biometric systems, and internal office communications. This role involves managing office supply inventory, vendor relationships, equipment maintenance, and day-to-day facilities issues including cleanliness, safety, and functionality.
The position oversees administrative workflows such as parking allocation, mail handling, internal records, and office-related expense reporting. It also supports event and meeting logistics, including room setup, catering, and supply management. The Office Coordinator contributes to policy compliance and process improvement across all aspects of office infrastructure, collaborating closely with security, facilities, and technical teams.
Responsibilities include planning and managing the yearly department budget and resource allocation. The role also involves coordinating front of house operations by managing reception, ensuring the reception area is kept tidy and clean, updating calendars, and scheduling meetings. Additional duties include managing random reservations/bookings, overseeing the delivery of incoming and outgoing correspondence, managing recycling and creating an eco-friendly environment, and supervising office-related taxi services and transfers.
The Office Coordinator cooperates with daily security questions and security guards, manages the SwipedOn system daily operations, and monitors JIRA tickets, re-assigning them as needed. They supervise document flow for incoming and outgoing mail and cargo, including post office and international courier services. The role also supervises the BioStar fingerprint access system, access cards, and control of resignation files/file administration in terms of office management needs.
Assistance to other administrative staff with overflow work, including word processing, data entry, and research, is also part of the role. Additional projects based on office management needs may be assigned. The Office Coordinator performs duties in accordance with standards and procedures established by the company, complies with internal policy and instructions, and performs job obligations in a proper, high-quality, and timely manner.
Ensuring compliance and accuracy of provided information, timely execution of any other reasonable tasks provided by the Direct Manager falling within the held position, and replacing colleagues during their vacations, sick leaves, and other absences are also key aspects of the role. Full attendance at trainings and workshops necessary for job assignments, care for assigned work resources and items, and carrying out activities related to personal safety are expected. The Office Coordinator requests the manager to provide timely and accurate job assignments and to secure necessary resources for execution of job responsibilities and tasks, and provides the manager proposals for work improvement.

- Secondary education (required).
- Higher education (preferred).
- Fluent English (verbal and written) (required).
- Excellent written and verbal communication skills (required).
- High sense of responsibility, punctuality, accuracy, and attention to details (required).
- The ability to accurately fulfil the direct management orders and work tasks (required).
- Tact and discretion, for dealing with confidential information (required).

- The ability to work independently and in a team (required).
- At least 1 year experience in management, customer service, administration, or any other related field (required).
